Sign Your Service Agreement
We send over a clear service contract that outlines the scope of AR/AP tracking, reporting cadence, and our responsibilities. Once signed, we get to work — no lengthy onboarding, no back-and-forth delays.

Share Access to Your Accounting Software
You grant us access to your QuickBooks Online, Xero, or equivalent platform, along with any invoicing tools or bill management systems you use. We also ask for a list of your key customers and vendors so we can track aging accurately from day one.

AR Setup & Invoice Tracking
We organize all outstanding receivables, categorize invoices by customer and due date, and flag any accounts that are already past due. Every open invoice is logged and monitored so nothing slips through the cracks — no more guessing who owes you money or when payment is expected.

AP Setup & Bill Management
We record all outstanding payables, match bills to vendors, and organize them by due date and payment terms. You'll always have a clear picture of what's owed and when — so you can take advantage of early payment discounts and avoid late fees or damaged vendor relationships.

Ongoing Monitoring & Reconciliation
On an ongoing basis, we update your AR and AP ledgers as invoices are issued, payments are received, and bills are processed. We reconcile transactions against your bank records to ensure everything ties out — catching discrepancies before they become bigger problems.

Aging Reports Delivered to You
We deliver regular AR Aging and AP Aging Reports — a complete snapshot of what's current, what's coming due, and what's overdue. These reports give you the clarity to follow up on collections, time your payments strategically, and protect your cash flow at every stage of the month.

Ongoing Support
Have a vendor dispute? A client claiming they never received an invoice? A payment that needs to be applied correctly? Your dedicated Account Lead is available during US business hours to handle questions, corrections, and one-off requests as they come up — keeping your AR/AP records clean and your cash flow on track.
